This privacy notice tells you what to expect when Develop Training Ltd collects personal information.

When someone visits www.developtraining.co.uk two third-party services collect standard internet log information and details of visitor behaviour patterns.  This provides information such as the number of visitors to the various parts of the site. We do not make, and do not allow the third party services to make, any attempt to find out the identities of those visiting our website.

By communicating, downloading, commenting or asking us to contact you, you understand that you are providing this information to us voluntarily and there is a legitimate reason for us to retain this information for the period required to discharge those obligations.

Where we ask for consent you will be asked to opt-in and you are free to not give or withdraw your consent at a later time if you change your mind.

We rely on consent as lawful basis for processing your data, where you have expressed an interest in procuring our services or we need the information to provide services under a contract with you.  We also rely on legitimate interest as a legal basis to process information where we have a clear interest to process your data and it does not impact your rights and freedoms.

If we ever wish to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

To help maintain the security and performance of the Develop Training Ltd website we track the IP addresses of visitors.  This information is not processed or used in any other way.

We use a third-party provider to deliver newsletters and mailshots. All those who receive our emails will have opted to receive such communications but are free to unsubscribe from them at any time.

We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our communications.

We use a third-party provider to manage our social media interactions.

If you send us a private or direct message via social media the message will be stored by the social media provider and/or third party provider for an indefinite period. The content of your message and/or your username will not be shared with any other organisations, unless you give your express permission that we may do so.

When you call the Develop Training Ltd offices we collect Calling Line Identification (CLI) information. We use this information to help improve our efficiency and effectiveness.

We track outbound numbers called but do not record or monitor calls made to or from any of our offices.

Any email sent to us, including any attachments, may be monitored and used by us for reasons of security and for monitoring compliance with office policy.  Email monitoring or blocking software may also be used. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.

We use a third party provider to supply and support our LiveChat service, which we use to handle customer enquiries in real time.

If you use the LiveChat service we will collect your name, email address (optional) and the contents of your LiveChat session.  This information will only be processed if the chat converts to an order otherwise it is not recorded.

We deliver training courses to learners on behalf of their employers.  To understand the requirements of the learners we record and store the following data:

  • Name, telephone number and e mail address of the person booking or coordinating the training for the employer.
  • Name and address and date of birth of the learner to identify the learner and supply certificates and joining instructions.
  • The National Insurance Number of the learners (Note: only where necessary to process qualifications, compliance records or funding arrangements).
  • Photographs of learners are stored to allow us to process compliance cards or database.
  • Photographs, video and audio discussions may be produced during training courses to provide supporting evidence for the course or stored as part of evidence within electronic portfolios.
  • Evidence to support eligibility to undertake training, such as forms of identification required to process qualifications or compliance records.
  • Information on disabilities or learning difficulties to provide personalised support and safety.
  • Information on ethnicity to ensure fair access and achievement within our programmes.

We take all reasonable steps to ensure that our staff protect your personal data and are aware of their information security obligations. We limit access to your personal data to those who have a genuine business need to know it.

Internally we may share your personal data with the JTL Group which consists of JTL, CompEx Certification Ltd and Develop Training Ltd.

Where required we may also share this information with external training providers, awarding bodies or government departments for the purposes of processing qualifications, compliance records or funding.  At any time the customer or learner can request details of those organisations.

When customers pay over the telephone or on the company website no payment card information is retained.

We collect and store contact details of our learners in the form of name, email address, date of birth and phone numbers (mobile/home) to allow us to contact the learner direct for the following reasons:

  • To send Joining Instructions to the learner direct.
  • To gather feedback on events and programmes that have been attended by the learners.
  • To send text reminders and email reminders of upcoming training.
  • To send email reminders for qualifications coming up to their expiry.
  • To enable the learner to inform us of any reasonable adjustments they require with the course or training centre.
  • To email copies of attendance certificates to the learner direct.

At any point the learner can opt out of receiving text or email communication.

Develop Training Ltd centres (and third party training locations) may be equipped with cameras for the recording of both images and sound.

Recording may be for the purposes of;

  • Security of company premises.
  • Safety and security of employees, visitors, and their respective property.
  • Protection of company assets, equipment and/or machinery from theft or damage.
  • Identification of antisocial or unacceptable behaviour.
  • Facilitating deliveries and enquiries by visitors.
  • Remote exam invigilation or quality assurance of training delivery.

Recordings at Develop Training Ltd are destroyed after one month unless there is a specific and reasonable requirement to retain them.  Retained recordings will be retained only for so long as is absolutely necessary.

Any third party locations will have their own standards and privacy notices.

When individuals apply to work at Develop Training Ltd we will only use the information they supply to process their application and to monitor recruitment statistics. The individual will be made aware beforehand if information is disclosed to a third party, for example when requesting a reference or to obtain a ‘disclosure’ from the Disclosure and Barring Service.

Information on unsuccessful candidates may be held for 12 months after the recruitment exercise has been completed, it will then be destroyed or deleted. We retain de-personalised statistical information about applicants to help inform our recruitment activities, but no individuals are identifiable from that data.

Once a person has taken up employment with the Develop Training Ltd, we will compile a file relating to their employment. The information will be kept secure and will only be used for purposes directly relevant to that person’s employment. Once their employment with Develop Training Ltd has ended we will retain the information for six years.

Photographic ID of Develop Training Ltd employees is stored on the network and used to produce ID cards.  With the consent of an employee a generalised resume and photo of them may be published on the company website to inform potential customers and learners.

Promotional videos of current staff members may be taken and used on the company’s intranet, website and social media sites for marketing purposes.

  • Training course records are securely destroyed 10 years after the date of an event.
  • Learner records are anonymised 10 years after the date of their last training with the company.
  • Employee records are securely destroyed 6 years following the date of last employment.
  • Records of persons unsuccessful for roles within the company are destroyed after 1 year.
  • CCTV footage is held for 1 month unless there is a specific a reasonable requirement to do so.

As an employer the company may be obligated to retain some types of employee information.  Former employees can ascertain information held by making a subject access request (see below).

Under GDPR all persons (or in certain circumstances their representatives) can ask for data to be erased.

We try to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate.

We are happy to provide any additional information or explanation needed on how data is collected, stored and protected within Develop Training Ltd.  Any requests for this should be sent to the address below.

We would also welcome any suggestions for improving our procedures.

We try to be as open as we can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a ‘subject access request’ under the GDPR. If we do hold information about you, we will:

  • give you a description of it;
  • tell you why we are holding it;
  • tell you who it could be disclosed to; and
  • let you have a copy of the information in an intelligible form.

To make a subject access request for any personal information we may hold, you need to put the request in writing addressing it to our Information Governance department, address provided below.

If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.

If we do hold information about you, you can ask us to correct any mistakes by, once again, contacting the Information Governance department.
